Arnold & Porter has Legal Secretarial openings in the Seattle office. The Legal Secretary assists attorneys and other legal personnel with administrative, organizational, and clerical work in a team-oriented and collaborative environment.

Responsibilities include but are not limited to:

  • Preparing, editing, and proofreading legal documents and correspondence such as contracts, agreements, summons, complaints, motions, subpoenas, etc.
  • Coordinating workflow for attorneys on a regular basis.
  • Collaborating in-person with attorneys and staff and managing the workflow within the Attorney Resource Center (ARC).
  • Editing client prebills as directed by the attorneys and processing the client billing in accordance with firm policies and procedures with assistance from the Billing Department.
  • Setting up new client matters; completing client label requests, requesting on-site/off-site client files from the firm’s Information Governance Department.
  • Accurately and efficiently arranging travel for attorneys via the firm’s Travel provider.
  • Inputting, editing, and finalizing attorney time into the firm’s time entry system.
  • Handling and retrieving physical files and other requests as needed.
  • Assisting with handling physical documents (including handwritten notes) and organizing and photocopying hard copy documents and PDFs with attorneys, ARC teammates, and other staff in the office. Also maintaining the electronic filing systems for the attorneys ensuring documents are electronically stored to the appreciate client matter number.
  • Coordinating meetings; including reserving conference rooms, ordering meals, arranging for any IT equipment needed (i.e. laptop, projector, audio/video equipment), sending Outlook meeting requests, greeting clients, etc.
  • Scheduling appointments, answering the telephone in a courteous and professional manner, taking messages, updating attorneys’ contact lists, providing transcription/dictation services, preparing, editing, and proofreading routine correspondence.
  • For those with notary public license, provide notary assistance, as needed.
  • Organizing and routing incoming mail.
  • Entering and processing expenses and invoices through the firm’s accounts payable system.
  • Ensuring proper indexing and filing of original legal documents and deposition transcripts. Converting documents; PDFs to MS Word documents, MS Word to PDF.
  • Creating and editing PowerPoint slide decks and Excel spreadsheets.

Qualifications:

  • A minimum of a high school diploma, with a bachelor’s or two-year degree preferred.
  • Minimum of ten years’ prior legal secretarial experience in a law firm environment.
  • Minimum of 60+ wpm typing,
  • Proficiency in all software used by the firm (iManage, Emburse, DTE Time Entry, etc.)
  • Strong skills in MS Word, Excel, PowerPoint, Outlook, various databases and Internet research skills.
  • Proficiency with legal terminology and standard legal procedures including electronic court filings.
  • Ability to work in a fast-paced environment while exhibiting a strong attention to detail.
  • Excellent administrative, communication (oral and written), organizational and problem-solving skills.
  • Ability to multitask and have a sense of urgency with the workload.
  • Ability to maintain a high level of confidentiality.
  • Ability to prioritize and manage time effectively.
  • Possess reliability, dependability and motivation.
  • Exceptional client service, both internal and external.
  • Flexibility to work additional hours, as necessary.

The anticipated base salary for this position is $70,000 to $96,000. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.

As a nonexempt position, this position is eligible for overtime.

The firm may provide a discretionary bonus annually.
